Submission Preparation Checklist
All submissions must meet the following requirements.
- This submission meets the requirements outlined in the Author Guidelines.
- The document must be provided in an editable file format (DOC, ODT, TXT, etc.) and not in PDF format.
- All references have been checked for accuracy and completeness.
- All tables and figures have been numbered and labeled.
- Permission has been obtained to publish all illustrations (tables, images, graphs), all data sets, and any other material provided with this submission.
Forewords
The Study Session Report typically includes two forewords: one written by the board of directors and the other by the students. By default, they are prepared by the president of the association and the president of the student council, provided they participated in the study session; if not, another person will be designated. Unlike articles, each preface must be submitted both in French and Dutch.
Please only submit your preface here if you are the person responsible for doing so.
Articles
The submission of articles is reserved exclusively for students of the Olivaint Conference of Belgium who participated in the study session.
Copyright Notice
By submitting their article, authors declare and guarantee that the text submitted is an original work, free of any third-party rights, and that they hold all copyrights to it.
By submitting the article, the author transfers, free of charge and exclusively, to the Olivaint Conference of Belgium, a non-profit association, in accordance with Articles XI.165 et seq. of the Economic Law Code (Book XI – Intellectual Property), all of their economic rights to the article, including in particular:
- the right to reproduce the work, in whole or in part, on any medium, known or unknown to date;
- the right to communicate the work to the public by any means, including posting it online;
- the right to adapt, translate, or modify the work, subject to respect for the author's moral rights;
- the right to commercially exploit the work, including by selling, renting, or any other form of commercialization.
This transfer is granted worldwide and for the entire legal duration of copyright protection.
The author retains his or her moral rights, including the right to respect for the name and integrity of the work.
Privacy Statement
We only collect data that is strictly necessary for the publication and management of the Study Session Report and the Contact:
- articles submitted by students;
- contact details of students who have published an article (last name, first name, email address);
- for the study session report, contact details of any external reviewers (last name, first name, email address, affiliation if applicable).
The data collected is used solely for:
- the publication and distribution of articles;
- for the Study Session Report, communication with authors and reviewers regarding the editorial process;
- administrative management related to the publication of articles.
The processing of your data is based on the fulfillment of the educational and scientific mission of the Olivaint Conference of Belgium, a non-profit association, as well as on the need to manage academic publication as part of its training and research activities.
Your data is only kept for as long as necessary for the publication and archiving of articles. Once the articles have been published and the editorial process has been completed, your contact details may be securely archived for reference and scientific documentation purposes.
Your data is not disclosed to any third parties except external reviewers, strictly within the scope of their role in the editorial process.
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, or accidental disclosure.
Our website only uses functional cookies that are necessary for the proper functioning of the site. We do not use any advertising, tracking, third-party, or commercial cookies.
